1. Payment & Booking Conditions

1.1 Reservation Fee & Acceptance of Terms

A non-refundable reservation fee of €300 per person is required to secure your place. Payment of this fee—together with signing a contract, voucher, or booking form—constitutes full acceptance of these Terms & Conditions, which the traveller confirms having reviewed in detail.

1.2 Deposits & Final Payment

To confirm a booking, an initial deposit of 30% of the total package cost is required. Unless stated otherwise on your pro-forma invoice, the remaining balance must be paid no later than 30 days prior to arrival. If full payment is not received by the deadline, Adventure Slovenia reserves the right to treat the booking as cancelled, and the cancellation fees outlined in Section 3 will apply.

1.3 Payment Methods & Documentation

All payments must be made in euros (€) directly to Adventure Travel d.o.o., V Dolini 30, 1000 Ljubljana, via the bank account listed on your invoice. We accept Visa, MasterCard, and American Express through the Flywire payment system.

Upon receipt of the reservation fee, you will receive an official Voucher and/or Pro-forma Invoice. After full payment, a final Voucher/Invoice will be issued, confirming all prepaid services.

2. Travel Insurance & Global Rescue

2.1 Global Rescue

Adventure Slovenia strongly recommends all travellers obtain a membership with Global Rescue, our Safe Travel Partner.

2.2 Travel Insurance

Adventure Slovenia recommends purchasing comprehensive Travel Insurance covering trip cancellation, interruption, delay, baggage loss, medical needs, and personal effects. Adventure Slovenia and its suppliers strictly adhere to the cancellation policy and cannot make exceptions.

3. Cancellation Policy

Fee per person based on date of written cancellation:

• 121+ days before departure: €300 non-refundable reservation fee per person
• 61–120 days: 25% of trip cost
• 31–60 days: 50% of trip cost
• 0–30 days: 100% of trip cost

3.1 Future Travel Credit (61+ days)

For cancellations made 61 or more days before departure, cancellation penalties may be applied as credit toward a future trip, valid for one year from the cancellation date.

3.2 COVID-19 or any other outbreaks policy for International Tours

If international borders are closed to travellers, Adventure Slovenia will reassess the situation 60 days before departure. If the tour is cancelled due to border closure, all monies paid will be transferred as Travel Credit.

3.3 Travel Credits — Conditions

• Non-transferable and non-refundable
• Cannot be used toward a deposit
• Must be used within one calendar year of original departure
• Once applied to a new booking, credits become non-refundable
• Special rules apply to COVID-related credits (contact our office)

4. Changes to Bookings

4.1 Scheduled Departures (Guest-Initiated Changes)

Changes to an existing reservation are subject to availability. Requests made within 90 days of departure incur a minimum €300 per person late-change fee. Guests are responsible for any additional hotel or supplier penalties and any increase in tour price. Only one date change per reservation is permitted.

4.2 Private Tours (Guest-Initiated Changes)

Changes will be reviewed on a case-by-case basis. When possible, a minimum €300 per group change fee applies. This fee may increase depending on the extent of modifications. Any supplier penalties and price increases remain the guest’s responsibility.

5. Itinerary Changes & Cancellations by Adventure Slovenia

Adventure Slovenia reserves the right to modify routes, dates, hotels, or activities at any time. This includes adjustments to itineraries published on www.adventureslovenia.com.

5.1 Force Majeure

Adventure Slovenia may cancel or modify a tour due to events beyond our control, including but not limited to:

• natural disaster
• epidemic or pandemic
• government restrictions
• acts of God
• civil unrest

In such cases, guests will receive a Travel Credit equal to the amount paid. Adventure Slovenia is not responsible for private expenses such as flights or independent hotel bookings. Guests should wait for final confirmation before arranging additional travel.

6. Package Price & Contents

Your package price is confirmed in your final offer (confirmation statement). The package price does not include unless stated otherwise:

• Optional excursions
• Visa costs
• Meals and beverages not listed
• Special services (single room upgrades, special diets, etc.)

Special services requested during the trip must be paid directly to the guide or representative.

6.1 Price Adjustments

Adventure Slovenia may adjust prices if, after the contract is concluded

• exchange rates change
• transportation costs increase (fuel, tolls)
• hotel/carrier fees increase.

If the price rises by more than 10%, guests may cancel free of charge within 48 hours of receiving written notice.

7. Travel Documents

Travel documents will be sent no later than 7 days before departure. These may include:

• voucher(s)
• detailed itinerary
• flight tickets (if applicable)

8. Accommodation Standards

All facilities are described according to the official categorization of the destination country at the time of publication. Standards vary by destination and cannot always be compared internationally. Adventure Slovenia is not responsible for third-party descriptions that differ from official program descriptions.

9. Traveller Code of Conduct

By submitting a deposit and completing your Traveller Profile, you agree to:

• Choose a trip suitable for your fitness and health
• Not have medical conditions that pose risk to yourself or others
• Hold valid passport, visas, and necessary certificates
• Follow pre-trip guidance and provide special requests 30+ days before travel
• Respect laws, customs, environmental guidelines, and fellow travellers
• Follow guide instructions and wear safety equipment
• Consume alcohol responsibly
• Not wear headphones during cycling activities

Adventure Slovenia may refuse service or remove any traveller whose behavior negatively impacts the group. No refund will be issued for dismissed participants.

10. Release & Limitation of Liability

Adventure Slovenia is not responsible for injury, damage, or loss resulting from, but not limited to:

• physical exertion
• forces of nature
• road or trail conditions
• travel by plane, train, vehicle, boat, bicycle, ski, horseback, or foot
• consumption of alcohol
• civil unrest or terrorism
• equipment failure
• high altitude
• limited access to medical care

Travellers who fail to sign the required Release of Liability may not join the tour; standard cancellation penalties apply. Adventure Slovenia is not liable for expenses not included in the tour price, including meals, hotels, or transport required to reach start/end points. Adventure Slovenia is not responsible for lost passports, tickets, luggage, or personal items.

11. Miscellaneous Provisions

• Adventure Slovenia is not responsible for typographical or printing errors, including pricing errors.
• Severe food allergies will be communicated to suppliers, but full accommodation cannot be guaranteed.
• Guests grant Adventure Slovenia the right to use trip photographs, video, and testimonials for promotional purposes without compensation.
